Symbio Software

The AI operating system for real estate & mortgage

One system does all of it. We build it, and we run it for you.

Stop paying for an assistant, an ISA and a marketing company to do it by hand. It is running real estate businesses today, without a huge learning curve.

Running in production today Built for brokerages & lenders

See it running

The overview: what Symbio Software is, start to finish.

Our own live system moving — the caller, the content engine, the CRM, the website and the tools — in the order a business meets them.

The overview · 3 min 9
The problem it solves, then the parts working together on one shared record. Every shot is the live product, not a mock-up.

Where you are now

Solo or forty agents, it is the same problem — time, and the money you spend buying it back.

Everyone here is already paying for hours — in salaries, in retainers, or in their own evenings. Size changes how much you pay and which part hurts first. Not the problem, and not the fix.

What each size is paying with now.

  • On your own, or nearly Your evenings
  • A growing team Salaries, and leads lost between people
  • A brokerage Management time
  • Lending The same bill, different questions

On your own, or nearly

You pay in evenings. You are the assistant, the ISA and the marketing company, and the business stops when you do. Buy back the calling first: something that answers every lead while you are in an appointment or asleep.

See what your admin time costs

A growing team

You pay in salaries, and in leads lost between people rather than lost outright. Buy back the hours spent working out who owns what: routing rules, action plans, one list of who to work next.

How it works for real estate

A brokerage

You pay in management time. You need everybody's numbers side by side, and the agent who has gone quiet this week, without asking anyone for a report. That is the team command centre.

Build a package around it

Lending

Same problem, different questions. Forms, follow-up and content change subject to the loan side; the calling works exactly as it does for a listing.

How it works for lending

Different sizes of the same bill. The only question is how much of it you are still paying by hand.

The problem

Everything waits on a person. And people run out of hours.

An assistant to chase the leads. An ISA to dial. A marketing company for the content.

They are good at their jobs — but each has only so many hours, and the business stops the moment those hours run out. Nights and weekends are just hours nobody is working.

That is the real problem. Not the effort, and not the tools. The hours.

Then it hits 5pm

The lead waits

It lands in a form and sits until somebody has a free minute — usually the next morning. Three other agents called back last night.

Nobody has an hour for it

The website goes quiet

Beautiful on launch day. Publishing to it is somebody's job on top of their real job, so it quietly stops. A site nobody feeds ranks for nothing.

Nobody has time to add it up

Nobody knows what worked

Joining ad spend to the leads it produced is half a day of somebody's week, so it never gets done. Next month's budget gets set on a feeling.

What Symbio Software is

One AI at the center — not multiple subscriptions patched together.

If you are tired of paying for multiple subscriptions with “integrations” between them, and running a complex tech stack to hold the whole thing together, this is the opposite of that.

The caller, the texter, the content engine, the website, the CRM and the ads all read and write the same records — one system, one bill, one login. That is why AI can capture a lead, call it, qualify it, route it and follow up without a single person moving it between systems.

AI makes the calls and sends the texts — no ISA, no answering service

Conversational AI callers dial your list, qualify, and book straight into your calendar. An AI texter answers every lead in seconds and keeps the conversation going on the channel people actually reply to. A real person steps in only when one is wanted.

A real AI call, in its own words
A real AI caller qualifying a homeowner and booking a listing consultation A transcript of a real call placed by the Symbio AI caller, with the homeowner's name and street redacted. The caller asks whether the homeowner wants to sell or rent, explains the low-commission full-service plan, learns they are moving out of the country, offers a tailored presentation, works around a conflict later that week, offers times on Monday and books a listing consultation for three PM. REAL CALL Symbio AI caller · names and addresses redacted 1:48 Hi , this is Ann with Symbio Homes. I was reaching out about your place over on . Are you open to selling it, or would you rent it out? Um, selling. We help homeowners sell with full service for a fraction of the usual five to six percent commission. What has you thinking about selling right now? Uh, moving out of the country. We offer a free hand-tailored presentation that shows what your home could realistically sell for. Open to a quick chat with one of our agents? I have someone coming on Friday, so it would have to be next week. No problem at all. For Monday I have nine AM, twelve PM or three PM. Which works best? Three PM. ✓  Listing consultation booked — Monday 3:00 PM, confirmation texted · synced to the agent’s calendar

Slide the call sideways to read both sides of the conversation.

Here is an example of a real call that turned into a listing appointment. The AI caller asks whether the homeowner wants to sell or rent, explains the plan, hears they are moving abroad, works around a conflict later that week and books the consultation into the agent’s calendar. No ISA on the phone. Only the homeowner’s name and street are blacked out, and the film below is the same call with the real audio.
The same call, on screen · 2 min 9
The same call as above, this time on screen: you hear the real conversation while the transcript writes itself line by line at the second each thing is said, and it ends on the appointment landing in the calendar. His first name and his street are a short tone — the two things blacked out in the transcript.

AI writes and posts your content every day — no marketing company

Articles, listing posts, market updates and short video, drafted in your brand and published across your channels on their own — so the site keeps earning its rankings while you sleep.

A CRM that tells you who to work next

Every lead scored and routed by your rules, enrolled in the right follow-up, and surfaced in the order that reflects what people actually did — not the order they arrived.

What it puts in front of you
The desk hands you an appointment it booked, the morning summary, and a task it set Ask the desk in plain English and it puts three things in front of you: an appointment on your day, carrying the mark that shows the AI set it; the morning summary, which is your call list in the order to work it together with who is going cold and what came in overnight; and a task set against the right company. It shows you what it is about to add and waits for you to say yes before it writes anything. YOU ASK FOR IT IN PLAIN ENGLISH “book a call with Acme tomorrow at two, and set me a task to send them pricing on Friday” SET BY AI Call with Acme tomorrow at two on your day, with everything else THE MORNING SUMMARY Good morning. Your call list, in the order to work it — who is going cold, and what came in overnight. SET BY AI Send Acme pricing Friday against the right company It shows you what it is about to add, and waits for your yes — it never writes anything on its own.

Slide the diagram sideways to see it end to end.

The order to work people in is only half of it — the desk also books the appointment, writes the task and hands you the morning summary, and everything it sets carries a mark so you can see at a glance what it did and what you did.

A website that produces business while nobody is working

Search a visitor drives in plain English, an instant home valuation and a rental valuation that each hand back a real number and capture a name, and landing pages per campaign — all feeding the same system the AI works from.

Slide the picture sideways to see it at a readable size.

Search the way a real buyer thinks — filters, real listing photos, and an AI assistant sitting alongside them, with the full map view a click away. Every search a visitor saves becomes a lead the rest of the system immediately goes to work on.
The assistant, answering
The AI assistant answering a buyer in plain English and showing three matching homes with photos, prices, beds and baths inside the conversation
A visitor types what they want in plain English and the assistant answers, then puts the homes that fit straight into the conversation — at most three, with “see them all on the map” and “tell me more” underneath so nobody hits a dead end. This is a real answer from the live site.

Ads with the numbers joined up

Campaigns run against the same database the leads land in, so spend is judged on what it produced — not on clicks.

6

The paperwork end of the job, handled

Presentations, valuations and seller reports built from live data; agreements sent for signature; appointments synced to the calendar people already use.

7

It keeps talking to your old database, so it never goes cold

Every past client and old lead gets their own home value update, sent on its own with no one remembering to do it — and when you have their loan details, what their payment and their equity look like now. Sellers you have listed get a report every week on how their listing is performing. This is the part of the database nobody ever gets round to, running by itself.

No handoffs

One lead, from landing to booked — and nobody moved it along.

Every handoff between a person and a tool is where a lead goes cold. Here there are none: the instant a lead lands, the same system answers it, qualifies it, books it and keeps working it.

  1. The moment it lands

    Lead lands

A form, a saved search or an ad click hits the database.

  2. Without anyone told to

    AI texts back

The texter replies on the channel people actually answer, while intent is highest.

  3. Picked up every 3 minutes

    AI calls & qualifies

The system sweeps for new leads to call every three minutes, around the clock. A conversational caller dials, qualifies and answers questions — no ISA.

  4. On the same call

    Appointment booked

Straight into the agent’s calendar, with a confirmation texted.

  5. From then on

    The CRM works it next

Scored, routed and surfaced in the order that reflects what they actually did.

The database you already have

You already paid for these leads. AI finds the ones ready to move now.

High-intent buyers and sellers sit buried in a database nobody has time to read. The AI reads all of it — every saved search, every note, every old conversation — and turns it into a call list worth making today.

Reactivate

Wake up the dormant list

Old leads matched to what is happening now, so the ones ready to transact surface instead of aging out unnoticed.

Match

Every listing, its likely buyers

A new listing produces a ranked list of the buyers in your database most likely to want it — with the reason why.

Act

The call list is already made

Who to reach, what to say and when — then the AI places the calls and texts and books the appointments.

Why believe us

We did not build this to sell it. We built it to run our own companies, and it does.

Symbio Software is the platform behind our own real estate businesses. The AI callers place our calls. The texter answers our leads.

Our sites are built on the website builder and our newsroom is written by the content engine. Every part of this was made because we needed it on a Tuesday, not because it demonstrated well.

That is the whole difference: this is a working business's operating system, offered to businesses like it.

What that means for you

Nothing here is a prototype

Every capability on this site is in daily production use on real leads, real calls and real money. When something breaks we feel it the same day you would.

What that means for you

We know the actual job

We are licensed operators, not a software company guessing at the workflow. The product assumes how the work is really done, including the awkward parts.

Two businesses, one system

Real estate and lending each get their own page, and one system if you run both.

The engine underneath is one thing. What sits on top of it is not: a brokerage needs listings, showings and the paperwork of a sale; a lending desk needs rate tools, routing across loan officers, and the months between a first enquiry and an application.

Each side has its own page here, written out properly.

One engine, two front doors
One shared engine serving a real estate side and a lending side A shared core of site, CRM, dialer, texter, content, ads, documents and data feeds a real estate front door with listings, showings and closing paperwork, and a lending front door with rate tools, loan officer routing and application starts. ONE ENGINE, ONE DATABASE site · CRM · dialer · texter · content · ads · documents · data FOR REAL ESTATE MLS search · saved searches expireds · circle prospecting CMAs · agreements · closing FOR LENDING rate & payment tools routing across loan officers application starts, in front of the LOS

Slide the diagram sideways to see both front doors.

If you run both sides, that shared bar at the bottom is the whole point: the buyer your agents are working and the borrower your loan officers are working are one record, not two systems and a referral somebody has to remember to make.

Symbio vs. the stack it replaces

Everyone else sells you a slice. You end up paying for all of them.

The tools below are the ones real estate and lending teams actually run, and most teams are paying for five to eight of them at once: a website here, a CRM there, a dialer, a texter, an ads agency, a data feed.

Each one does its slice well and stops there. Here is that same shelf, side by side with one system that does all of it.

Add up the ones you would need to match a single Symbio package and you are back to five to eight subscriptions, five to eight logins and five to eight bills — none of which talk to each other. Symbio replaces the whole shelf with one system, at a fraction of what that stack costs together.

Comparison reflects each product’s core focus as publicly positioned at the time of writing; every product on this list is capable software in its lane. Product names and logos are trademarks of their respective owners and are used here only for identification. For the comparison: the Operating System is $1,000 a month, plus calling minutes, texts and any lead data at cost with no markup from us. Full Operation is priced per customer. Nothing you type here leaves your browser unless you ask us to send it.

How we work

Two packages — and we build the one that fits what your business is missing.

Nobody needs all of it on day one. We look at where your leads come from today, where they are being lost, and what your team will actually use — then we build the package around that and run it for you.

The Operating System has a published price, and both packages are below in full. Nothing here is a tier with features switched off — it is the set of parts you are actually missing.

The client tools · 57 sec
The tools your clients hand to their own customers, running on live data — a buyer types what they want in plain English and the assistant answers with the homes that fit, a seller types an address and gets what their home is worth, a landlord gets a projected monthly rent range, and the lending side gets the payment and the talking points that go with it. Each one captures that person as a lead.

Package two

Full Operation

Priced per customer

For a brokerage or a lender running the whole thing at volume. The step up from the Operating System is capacity and hands-on support, not a longer feature list.

What is included

  • Everything in the Operating System — every feature, nothing held back
  • Our highest monthly allowance of call minutes and texts
  • Onboarding and data migration run for you
  • A named person who knows your account
  • Seats scaled to your team, priced in your custom quote

Built around your operation and heavily customised, so the number comes out of the scoping call rather than off a page.

Start here

What the price does and does not include. The Operating System is a flat monthly price. On top of that you pay only for what you actually use — calling minutes, texts and any lead data — at cost, with no markup from us. Full Operation is priced per customer because it is built around your operation, and we quote it in writing after a scoping call. The Operating System includes five seats; additional seats are $50 a month each, and large teams are priced custom. There is no per-lead fee, and any spend that goes to an ad platform is your own budget with a ceiling you set.

The AI inside it

The AI actually doing the work — not a chatbot bolted on the side.

Most of what a Symbio package does is run by AI we built and use ourselves every day. None of this is a demo or a roadmap — it is live in the product now. Full Operation is where the whole of it runs end to end, set up and managed for you.

Calls

An AI that works the phone

A real voice agent works your call lists, has the conversation, and books live appointments straight onto your calendar — then logs the call like any other.

Texts

Every new lead answered in seconds

The moment a lead arrives, day or night, it gets a real reply — and the conversation keeps going until they book, ask for a person, or opt out.

After the call

Recordings, transcripts and a summary

Every call is recorded and transcribed, with a short written summary of what was said and what to do next, sitting on that person’s timeline.

The CRM

Routing, scoring and follow-up that don’t stop

New leads are routed and scored automatically, and long-horizon follow-up keeps working a contact across text and email for as long as it takes — not just for the first few days.

Content

A newsroom that writes itself

A fresh article is written and published to your site every day, and social posts go out on a managed calendar — without you writing any of it.

On demand

Proposals and presentations, generated

Valuations, client presentations and written proposals are put together for you and ready to send, instead of rebuilt by hand each time.

Getting found

Built to be recommended by AI, not just Google

We build your site the way we built our own — so the new AI search tools like ChatGPT and Perplexity can read it and put you forward when someone asks them a question you answer.

You will notice most of this already sits inside the Operating System package — we do not switch features off to make a cheaper tier. What Full Operation adds is the whole of it, at your volume, set up and run for you rather than by you.

How it goes

Four steps, and you can stop after the first one.

Where you can stop
The four steps, and where the commitment starts Step one is us looking at what you have and giving you back a plain findings summary, which is yours whether or not you go further. Only after that come the three steps of a package: a written proposal, the build with your data moved across, and us running it. STEP 1 We look at what you have a plain findings summary STEP 2 A package, in writing and what it would cost STEP 3 We build it your data moves across STEP 4 We run it and it keeps improving YOURS EITHER WAY ONLY IF YOU GO FURTHER WITH US

Slide the diagram sideways to see all four steps.

Step one happens before you decide anything, and what it produces — a plain read of what your site and your follow-up are doing today — is yours whether you go further or not. Everything right of the dotted line is what a package actually is.
1

We look at your front door before we say anything

Your site, your capture, what happens to a lead after it arrives, what you are already paying for. You get that back as a plain findings summary whether or not you go further with us. It is genuinely useful on its own.

2

We propose a package, in writing

What we would build, in what order, what it costs, and what we would deliberately leave out for now. If the honest answer is that you do not need us yet, that is what the proposal says.

3

We build it and move your data in

Sequenced so the things that pay for themselves fastest go live first — usually capture and instant follow-up, because those change numbers in the first week. Your existing contacts come across cleanly.

4

We run it, and it keeps improving

The content keeps publishing, the ads get reviewed on a schedule, and product improvements land in your system as they ship. You are not buying a version.

What a package actually is

You are buying the parts you are missing, not a tier with things switched off.

Every business arrives with some of this already working and some of it not. A package is the shape of that gap — which is why the first step is us looking at what you have, rather than selling you a tier you only half need.

Straight answers

The questions everyone asks on the first call.

Do we have to move off our current CRM?

Eventually, if you want the AI parts to work — they depend on the leads and the conversation living in the same place. We import what you have, and we do it before anything is switched on so nothing is stranded.

Who owns the data and the website?

You do. It is your domain, your database and your content. If you ever leave, you take an export of the lot.

Will the AI say something embarrassing to a client?

It is bounded to what it can verify about your listings and your market, and it hands off to a person the moment a conversation goes beyond that. You can also review everything before it goes out.

How long until it is live?

Capture and instant follow-up are the fastest and go first. A full website and CRM build is longer, and we give you the sequence in the proposal rather than a single optimistic date.

Is the AI calling compliant?

Do-not-call and opt-out handling are built into the dialer and the texter rather than being your responsibility to remember. Calling hours and lists are set by you.

What if we only want one piece?

That is fine and it is common. Plenty of clients start with the website and the texter alone. The rest is there when you want it, and turning it on does not mean rebuilding.

Get started

The next step is a conversation, not a contract.

Tell us what your business runs on today and where it leaks. We look at your own front door first and come back with a plain findings summary — you keep it whether or not you work with us.
